Tools and Reusability

Creating Effective Figures for Academic Papers

Fundamentals of Data Visualization, Claus O. Wilke (added on Feb 28, 2022)

When creating figures, use software that is widely accessible and commonly used so that others—especially co-authors and collaborators—can easily edit them later. We recommend using Microsoft PowerPoint.

To ensure high resolution, always set your slide size to a large format before creating figures.

Figures and tables are just as important as the main text in academic papers. In fact, readers often look at figures and images before reading the full text. Poorly designed figures can give the impression that the author’s ideas are not fully developed or that insufficient consideration has been given to the reader.

While digital tools make figure creation easy, producing figures without understanding basic design principles can result in poor-quality visuals that discourage readers.

Design skills can be developed through training. Although hiring professional illustrators is an option, it is important to first learn how to create high-quality figures independently. This also allows for clearer communication when outsourcing and helps reduce time and cost. Regularly observe well-designed figures and analyze why they are effective—consider layout, imagery, typography, labeling, and graphical elements such as arrows.

In most cases, figures require multiple revisions. Initial versions often lack necessary information or are poorly structured. Therefore, allocating sufficient time for refinement is essential.

Key Principles

  • Consider output dimensions
Always design figures with the final output size in mind (printed or displayed at 100%).
  • Text size and consistency
Text in figures should generally be the same size as or slightly smaller than the main text.
Avoid inconsistent font sizes or styles across figures.
The minimum font size should be 7 pt, reserved for the least important text elements.
  • Line weights and roles
Lines play different roles and should follow a clear hierarchy:
    • Thick lines (approx. 0.6 mm): outlines, section lines
    • Medium lines (approx. 0.3 mm): dimensions, annotations, hatching
    • Thin lines (approx. 0.15 mm): other elements
      The recommended ratio is 4:2:1.
Always verify line visibility in the final output (PDF/print).
You may also use dashed and chain lines where appropriate. While strict drafting standards are not always required, JIS standards can serve as a useful reference:

PowerPoint Usage

Create figures in PowerPoint, export them as images, and insert them into your manuscript.

Using PowerPoint ensures that figures remain editable and reusable by co-authors, even after the original author graduates or moves on. High-quality figures can be created without specialized software.

Slide size is particularly important. Default settings are too small and result in insufficient resolution for lines and text.

Understanding the relationship between resolution and dimensions is also essential.

Practical Design Tips

  • Align all elements consistently within the figure
  • Pay attention to text margins
    • In Japanese, equal top and bottom margins can make text appear visually misaligned due to the absence of descenders (e.g., “g”, “p” in English)
  • Avoid excessive use of colors
  • Ensure readability in final output (including printed formats such as 4-in-1 layouts)
  • Choose fonts appropriately
    • Use Japanese fonts for Japanese text and Latin fonts for English text
  • When zooming into part of a figure
    • Clearly indicate the relationship between overview and detail
    • Connect corresponding points visually and carefully consider layout placement

How to Create Clear and Effective Presentation Slides (Beginner Guide)
https://www.slideshare.net/yutamorishige50/how-to-present-better

A key principle shared by research, academic writing, and presentation design is consideration for others. Even if you fully understand your own work, it loses impact if it cannot be clearly communicated to your audience.

Basic Principles

  • Use a minimum font size of 18 pt
Text within figures may be the same size or slightly smaller.
  • Limit the amount of information per slide
Maintaining readability naturally restricts how much content can be included.
Carefully consider what is essential to convey within the limited presentation time.
  • Choose the appropriate form of expression
Some information is better conveyed through text, while other content is more effectively communicated through figures or tables.
Strive to create clear and intuitive visual representations.
  • Design for handouts
Ensure readability when slides are printed in reduced formats (e.g., 4 slides per page).
Well-prepared handouts help the audience retain key points and provide more constructive feedback.

Continuous Improvement

Developing consideration for the audience requires experience. Seek feedback from others, listen carefully, and revise your materials accordingly.

Always have others review your slides before presenting. Accept feedback with an open mind and use it to improve your work. Likewise, audience members should feel comfortable expressing when something is unclear.
